Privacy Policy
This policy explains how Cleara Clean collects, uses and protects your personal data when you use our website and cleaning services, and the rights you have under UK data protection law.

1. Who we are
Cleara Clean (“we”, “us”, “our”) is the data controller responsible for your personal data. We are a cleaning agency operating in London, United Kingdom.

2. The data we collect
We collect and process the following categories of personal data:
- Identity & contact data — your name, email address, phone number and postal/property address.
- Booking data — property type and size, service requested, add-ons, access and parking notes, preferred dates and any special instructions you give us.
- Payment data — where you pay online, card payments are processed by our payment provider. We do not store your full card details on our own systems.
- Account data — if you create an account, your login email and authentication details.
- Job records & photographs — the checklist your cleaner completes at your property, their notes, and any photographs they take of the completed work or of pre-existing damage. Cleaners are instructed to photograph the work only — not people, personal documents or valuables.
- Communications — messages, enquiries and feedback you send us.
- Technical & usage data — IP address, browser type, device information and how you interact with our website.
We do not intentionally collect special category data (such as health or biometric data). Please do not send us such data unless strictly necessary for your booking.
3. How we collect your data
- Directly from you — when you request a quote, make a booking, create an account, or contact us.
- Automatically — through cookies and similar technologies when you use our website (see section 5).
4. How and why we use your data
Under UK GDPR we must have a lawful basis for processing your data. We rely on the following:
- Performance of a contract — to provide the quote, booking and cleaning services you request, arrange a cleaner, and take payment.
- Legitimate interests — to run and improve our business, keep records of the work carried out (including job sheets and photographs) so we can check quality and resolve any dispute about a clean, prevent fraud and secure our systems, provided your rights do not override those interests.
- Consent — for optional marketing communications and non-essential cookies. You can withdraw consent at any time.
- Legal obligation — to comply with our accounting, tax and other legal duties.
5. Cookies
Our website uses cookies that are strictly necessary for it to function (for example, keeping you signed in). Where we use any non-essential or analytics cookies, we will ask for your consent first. You can control cookies through your browser settings.
6. Who we share your data with
We never sell your personal data. We share it only where necessary, with:
- Our cleaners — the relevant booking and access details they need to carry out your clean.
- Service providers (processors) acting on our instructions, including hosting, database, email delivery and payment processing providers.
- Professional advisers and authorities — where required by law, regulation or legal process.
All processors are bound by contract to keep your data secure and use it only for the purposes we specify.
7. International transfers
Some of our providers may process data outside the UK. Where they do, we ensure an appropriate safeguard is in place — such as an adequacy decision, the UK International Data Transfer Agreement, or Standard Contractual Clauses — so that your data receives an equivalent level of protection.
8. How long we keep your data
We keep your personal data only for as long as necessary for the purposes we collected it, including to satisfy legal, accounting or reporting requirements. Booking and financial records are generally retained for up to six years to meet UK tax and accounting obligations; enquiry data that does not lead to a booking is kept for a shorter period.
We keep job sheets and photographs on a shorter clock. The completed checklist, the cleaner’s notes and any photographs of the work are deleted automatically 90 days after the job, unless we need to keep them longer to deal with a complaint, an insurance claim or a legal claim that is already under way. Separately, the link a cleaner uses to open a job sheet expires 14 days after it is issued, or sooner if we withdraw it.
Photographs are held in private storage that is not publicly accessible, are visible only to us and to the cleaner attending your job, and are never used in marketing without your explicit consent. If you would rather no photographs were taken at your property, tell us before the clean and we will note it on the job.
9. Your rights
Under UK GDPR you have the right to:
- request access to the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to erase your data in certain circumstances;
- restrict or object to our processing of your data;
- request the transfer of your data (data portability);
- withdraw consent where we rely on it; and
- lodge a complaint with the ICO if you are unhappy with how we handle your data.

10. Data security
We use appropriate technical and organisational measures to protect your personal data against unauthorised access, loss or misuse, including access controls, encryption in transit and restricted staff access. No method of transmission over the internet is completely secure, but we take reasonable steps to safeguard your information.
11. Children
Our services are directed at adults. We do not knowingly collect data from children under 16. If you believe a child has provided us with personal data, please contact us and we will delete it.
12. Changes to this policy
We may update this policy from time to time. The latest version will always be available on this page, with the “last updated” date shown above.
